TLA/FLAs for FIM/IWMS

(last updated in 2026)

It seems like every time I see someone write, or hear someone speak, about my line of work, they will say something to the effect of "This could better be described by [INSERT TOTALLY NEW AND COMPLETELY UNNECESSARY ACRONYM HERE]".


If you have ever found yourself typing or uttering those words, or something similar, just stop yourself. Please.


Alright. Having grown up in the engineering industry, in the age of CAD, and a burgeoning data management movement, and the expansion of BIM, I am surrounded constantly by acronyms. 
The icing on the cake was that the facility I worked longest in was a medical center, so I had to be familiar with many of those as well.


The title of my post is Three Letter Acronyms / Four Letter Acronyms for Facilities Information Management and Integrated Workplace Management Systems. 
So, yes, it IS nicer to be able to say that in far fewer letters. The only problem is, which letters to use?


Enough ranting and meme-sharing, though. I have collected a series of these acronyms for reference, which I come across often in my work.

Autocad 2015 from the Dork Side


I was actually asked to blog and tweet on behalf of both myself and AUGI during yesterday's blogger event in San Francisco, so, you can find my notes on the 2015 release over on BLAUGI:

As you know, I don't work on the design side, I work post-construction and often don't use many new features "in production" because I am not actually producing new drawings often. So, I tend to really appreciate the little tools that make consuming and reusing data easier for me and my users. This release has a few of those.

See the above BLAUGI post for a long list, but, here are my personal favorite top 3:
  • Help's Find command button tool
  • Command preview
  • Lasso selection

There are others in that vein as well, check out the list to see which might be your favorites.
A 'bigger' feature would be the continuing refinement of the point cloud support in AutoCAD is something that excites me as an owner. Reality capture (of existing conditions) is a process that has become drastically more affordable and accessible to a much wider audience in the past few years, very exciting.

AutoCAD 2015 wasn't the only thing we discussed, I am planning another blog post later this week to fill you in on the rest of the stuff we went over.

"CAD" Standards Update

In 2002, I created my facility's first CAD standards manual. It was a basic checklist, outlining the most important components of drawing quality and document turnover. Clear layer names, no random Z elevations, ANSI paper sizes, well-labeled pipes, sufficient information in the titleblocks, no zip files spanned across floppy disks, etc. Short and sweet.

I have made a few adjustments over the years, as topics have come up and technology changed. The most recent change was in 2009, when our 'corporate overlords' had dictated the official start of 100% BIM. I added a one-page addenda at that point, specifying RVT and collaboration and called it a day (I've got some earlier posts, linking to other BIM standards documents), since I was sure we would not get 100% BIM all at once and I wouldn't know what did and did not work for us, until we'd used some models for the maintenance phase of a project... or ten.

So, for the past few months, I have been updating and expanding the manual (a section of the Engineering Standards and Specifications), which has turned into far more of a procedures manual, than the quality checklist it used to be.

From 2003-2008, we (ok, I) added space numbers across the campus (which previously only had numbers on patient rooms and doctor's suites), and, it has been a challenge to get the PMs to tell the architects to give me prelim plans to number before they passed them off to the engineering firms. Which, typically, hasn't happened at convenient times for me. So, I've documented the numbering procedure, so the archie firms can do it themselves, without my assistance, and further dictated the collaboration during projects (which, apparently, only happens when we force the issue).

Crazily enough, the bosses have realized that including O&Ms in my plan/model archives would be a good thing, so, I've gotten to add that procedure, too.

And, with the greater adoption of models, and the upgrade of our CMMS, we've included the Business and Operations Managers in this process, so, they can refine the automation of transferring equipment data from completed projects into our equipment database.

It has been a grueling process, with some small pain as I ruthlessly chop away at the document which I spent so much time and effort creating from scratch in my youth, but, I'm finally finished.

I write this primarily to reminisce on how much my role as a facilities "cad manager" has morphed over the years, with the changes in technology. 

On top of that, I'm also quite excited to be on the upfront side of a MAJOR campus overhaul. I was hired at the (rather disappointing) end of our last one, so, I've been a bit of a bulldog with the project team, hoping to avoid the mistakes and oversights of the past (which the current team is being hampered by... as have we, since the buildings became operational.).

Free Facilities Management FM class handouts

Did you know that Autodesk University and the Revit Technology Conference partner with AUGI to hold old course handouts and presentations?

Well, now you do. They're hosted in the forums, so, if you're searching for a topic, these tutorials and lectures can also show up in results. Covering AutoCAD, DWF, collaboration, information management, BIM, IPD, Revit etc.

I compiled a list of those classes that are applicable to the owner's side.

Obviously some of the software-based courses (like FMDesktop rip) are out of date, but, some of the concepts are still valuable, like this one:

Class handouts will continue to be uploaded as they become available, so be sure to check back. I'll update that thread in the Facilities Management - In Practice forum as I see them, but, of course, I always encourage CAFM/CMMS folks to check out the CAD Management and Programming classes, too. When you're making changes on a large scale across your campus, you'll want to brush up on the automation available to speed that process up.

Dork Side Tips: Keyboard Navigation


Flight of the Keyboard Navigator

If you are old-school like me, you might always keep one hand on the keyboard. I habitually keep a few programs and many drawings open and like to navigate using typed commands:

Use Alt + Tab to toggle between open files and programs
Use Ctrl + Tab to toggle between different open AutoCAD files
Use Ctrl + PgUp & PgDn to toggle between layouts / modelspace – Page Down to move right, Page Up to move left
Use Ctrl + R to cycle through viewports


Using the keyboard when Coding VB.net

The above tip reminded me of something from my programming classes back in college. We used Visual Studio, but, none of the instructors directly covered the various ways to progress after making your autocomplete options. I noticed that all of them chose one method and used it over and over, rather than switching between them, which I found to be more efficient. When you're typing out a bunch of code, you don't want to move your hand off the keys to click an option with your mouse or the arrow keys or hit an unnecessary space if one could be added for you automatically.

When using Intellisense (like AutoCAD's command complete feature), you type a couple of letters, and objects/commands/variables etc pop up.
  • Pressing SPACE will fill in the selected item and insert a space after it. 
  • And, of course, hitting ENTER will fill in the selected item, and move your cursor to the next line. 
  • Obviously, you don't want a space after every single component of your code, so, hitting TAB will fill in the selected item, and keep your cursor at the end of it, so that you may continue typing.

 You can also toggle between the Intellisense tabs (Common and All), using the keyboard ALT< and ALT> (not that you need it with the simple example given in my code, but, trust me, it can come in handy).

I haven't spent enough time programming to have picked up any other keyboard navigation tips in Visual Studio. But, if you've got some additional to share, I'd love to learn them, too.

Dork Side Tips: Lay it all out


This tip from the dork side bears a little more explanation when it is standalone.

Working in a large facility inside the city limits, our construction is, by necessity, always butting up against another building. Obviously, once that happens, renovations often spill over from one building to another. So, also by necessity, our floor plates, and thereby our background plans, cover all of the buildings in a single file. 

I created a composite set for each discipline (ease of use for mechanics, engineers and future renovations for each trade):
Mechanical Ductwork
Mechanical Piping
Domestic Water
Electrical Power
Electrical Lighting
Electrical - Auxiliary Systems (nurse call, fire alarms, etc)
Fire Protection Piping

While I work on the Engineering staff, and we are not responsible for the architectural components, I have recently started two additional sets just for reference:
Architectural - Reflected Ceiling Plans
Architectural - Room Usage 

For each of these sets, I copy over the content from each renovation project's record documents.
All I started with was a set of floor plans, so I had to create each of the above-mentioned sets from scratch. Obviously, I created one, and used it as a template for the remainder (using the below tip, the Sheet Set Manager or SSM, and recently, Fields for the titleblocks).

Now for the tip:

After I set up separate layouts for each building on a given level, I want to import the layouts into the drawing for another level. Open up your next drawing and just right-click on a layout tab and select From Template…, change the Files of Type: selection to .dwg and select the drawing you just set up your layouts in. You will be able to select one or more of the layouts available in the drawing you are using as your template.

You can also import layouts into other drawings by using Design Center, although this will not bring along their Page Setups. Go to the Output tab of the ribbon and click the Page Setup Manager to import from there, if needed.

Dork Side Tips: Speel Chocker

Continuing to share bite-sized tips, broken out from my recent AutoCAD Tips and Tricks article (pdf archives, library entry).



We all need spell checking at times, let’s face it. Pull up the SPELL command by clicking Check Spelling on the Text panel of the Annotate tab. 

The default dictionary might be fine for most uses, but, you can also make your clients happy by clicking the Dictionaries… button and adding custom words. I’m serious here, take a couple of seconds to input a company (or building or occupant) name correctly in your dictionary (e.g. Shoenberg. I've got one drawing set where this building name is spelled four different ways. It's not that hard folks. #1 look at your starting blueprints. #2 look at the name carved on the outside of the building #3 be a responsible CAD Manager and run spell check on client-specific words because all of your designers or drafters tend to get creative.) so you can check consistency and ensure that your client does not get irritated by seeing your drawing set with numerous incorrect variations. 

While spelling has little to do with the quality and value of the design that gets built in the field, it does display professionalism and attention to detail and avoids offending anyone whose family legacy has paid for said building.

I am moved

Anyone who might happen to follow me on Twitter or who has befriended me on Facebook or circled me on Google+ knows that I've been preoccupied with an office move recently. Really, it's a project that has kept me occupied over the past three years, as our department was one of the last to be decanted from 400,000 square feet of buildings on the chopping block. Finding temporary homes for all of the displaced functions was, luckily, the job of the project management and real estate teams at the corporate level. But, I did have to provide documentation from the current and proposed spaces for each of these moves, depending on the adaptations needed for each.

I was just reading a post from Life of An Architect's Bob Borson this morning. He's starting a new job, but, his post about what was in his office, and what it meant to him, reminded me that I wanted to share with you a reflection on how my work has changed here over the past decade+, but, mostly over the past five years (since my last office move).

I'm currently in an office, but, I'm certain that our next move will take us to a cube farm, so, these observations the engineers and I made as we moved are a good thing.

First things first, the drafting table. I was tempted not to even bring this along during our move. It's not been used as a drafting table since maybe the early 90's, about half a dozen people before me. (If you notice the legs are a bit short, it's because the Director used to have it in his office about 20-30 years ago, and cut it down to be the same height as his desk, so that he could scoot between them.)
My facility has not accepted paper closeout documents (record docs, as-builts whatever you call them) since 2001 or 2002, but, yet, people still insist on sending multiple copies to the Engineering team (when my boss only asks for one set, because he gives them to the mechanics). I keep them, until I can verify that I've got the DWG or RVT files from that project (many times I do not, but, that's a separate rant ;) ).

The engineers used to use this table for plan reviews all the time, but, they've gotten more and more comfortable with reviewing plans on their computers, or on the workstations I set up around the campus, which have larger monitors.
This plotter is on the chopping block, too, because we just don't do all that much printing anymore.

As I moved, I dumped sets and sets of reference drawings that I used to be asked for constantly (when asked for a common set in B or D sized, I'd run off multiple and keep them handy for the next person coming through, it was a brilliant move that saved me loads of time, I assure you). However, it's been years since I've been asked for a paper set of drawings. Most of the (non-engineering) folks that want to do markups on a set, just ask for PDF from us. ~recycling the remainder~ I think I can also comfortably dump the set of riser diagrams that were always kept in the engineering department's file room (getting in the way, but, luckily on a wheeled rack), because, the engineers and lead mechanics that usually need to reference them are now doing so electronically.

Inside that drafting table is a little something special...

Until just a couple of years ago, there were also some slide rules and other engineering templates resting within this time capsule. Those belonged to my Great-Grandfather, who was a Civil Engineer in Southern California. He came to live with us as he and Great-Grandma got older. After he passed away, my Grandfather kept his things in a box in the garage. And, after my Grandfather passed away, my Dad took over the garage. After my Dad moved out, I took over the garage and have kept them since I was a teenager. Obviously, I never did manual drafting professionally, myself, but, I kept them as a connection to my G-G. And, as a 'wanderer', I left them here in my office, which has stayed fairly constant for 13 years, while I changed personal addresses quite often. Now that I'm settled down in a nice house in the burbs, I've brought them home and showed them to my sons, who can inherit them from me one day (if they ever want to open a museum, of course ;) ).


Now, my desk doesn't show much outward change, but, when I moved into my last office and took this furniture (we scavenge okay, we don't get a big move budget like the money-making departments), I filled up these 5 file drawers and 8 smaller drawers and had loads of paper organizers on the work surface, too. 

I had binders for each of the projects I had managed. I had markups from the projects the engineers ran, markups from mechanics for changes they'd made or noticed in the field, tons of cd's and disks people would submit or find for me, and (this is my favorite) a paper copy of every work request made to me between 2000 and 2009.

Now that we've got more reliable IT backup, I no longer worry about files disappearing (which they'd done before, unfortunately), I can let go of the paper backup copies. I never open these binders.

It was fun running across some things, like the directory printout from when I started and there was NO filing system on the server yet, because no one was in charge of it (I had IT lock it down so only myself and the ME could write to it).

So, all of those drawers? They're now filled with equipment. Cables and cords, a couple of laptops, a projector (which I need to replace with something newer, by the way ~note to self~), my toolkits (for computer and plotter repairs) and sundry.

I'll admit that many of the binders remaining in my overhead storage could disappear. All of my AU handouts there on paper are now available in the AUGI forums, so I really don't need them on paper, nor some of those project binders I inherited when I took on various roles (from our Cabling Coordinator and Programmer when they left), but, I still have a hard time letting go.
And I don't need too much space to store CD's/DVD's anymore, since most of my file distributions are done via FTP or similar.

I even have a folder full of the furious notes I took at a meeting back in 2003 when I first heard of CAFM and Archibus and the whole world of data management gloriously opened to me.
For the past few years, I've taken notes electronically on my laptop, and in the last couple of years, I take the notes or work requests electronically on my iPhone and email them to myself, or access them from Evernote or Google Docs as appropriate.
There is a challenge in explaining to some of the luddites that I'm not 'texting' or playing games, I'm taking notes, and that's slowly overcoming the prejudice I initially encountered.
But, everyone else in the office has been switched to iphones recently, so there are a lot more multi-media notes from site visits, which is great. Also, during our own office renovation, no one thought to bring copies of the plans with us, so I pulled up the dwg file I'd emailed to myself on AutoCAD WS (now Autodesk 360 for mobile).

And so...
I started working with CAD very young and have felt like I was dragging my company kicking and screaming into the light. The move from paper to CAD, now the move from CAD to BIM (expect about 15 years for each technology shift, that's how we roll in a company this large, no matter the department). Five years ago, during our last move, things had improved slightly, but, since then, things have progressed more rapidly.
I look forward to that trend continuing.
